Becoming a Coachability Coach

Coachability is a service that connects athletes with private coaches. Coaches across the UK use Coachability to build, market, and manage their private coaching business. Coachability provides online tools to make it easy for coaches to book, schedule, and receive payment for private training sessions. We encourage highly successful athletes and experienced coaches who want to be mentors, coaches, and positive influences to sign up with Coachability.

If you’re interested in becoming a Coachability Coach, please visit our  homepage and click on the sign-up link in the top right menu. The 1st step is to create an account, providing an email address and password. An email will be sent asking you to verify your email address,  once verified your then be able to start creating your coach profile, which is split into 5 areas: 

• Profile Info

• Availability

• Locations

• Photos/Videos

• Payment Options & Verification

The 'Background' section consists of three fields that you are required to fill out: Coaching Experience, Session Plan and a One Sentence Bio

Below are some tips on how to have an outstanding coach profile: 

1.  Coaching Experience: What experience do you have coaching or training athletes? At what levels have you coached? Where have you worked as a coach or trainer? What age groups do you typically work with? Do you have any industry certifications? Be specific here! List specific schools, teams, clubs, universities that you have coached as well as how many and which years you spent with each. Have your players/teams gone on to play at an elite level or win any awards?

2.  Session Plan: We understand that every session will be different, but this section will provide insight into what a typical session with you may entail (drills, techniques, coaching style). What's typically included?

3. One Sentence Bio: Your One Sentence Bio is the first thing clients will read about when they come across your profile. To help your profile stand out, include specific details that are unique to your background and experience, such as athletic achievements and coaching/career highlights.

Managing My Coachability Account

It's important to keep your availability up to date so that your potential clients know when you will be able to train with them. You can set your availability from the "Availability" tab in your Dashboard. 

Why provide Specific Availability?  Clients are more likely to book sessions when they know your schedule is compatible with theirs. Coaches who provide specific availability appear higher in our search rankings.

What if I don't know my availability for a certain day? No worries! It's ok if you don't know your available hours for every day; just skip the days you aren't sure about and update as much as you can. 

Coachability will use your Training Locations or Travel Distance (if you’re flexible on where you train) to power our search results: If you have a specific training location at which you typically train: You can add that location and we’ll display the locations on your profile (alongside a nice map). We’ll send you clients who can travel to your location to train. To add locations, visit the “Profile” tab of your dashboard and scroll down to the “Training Locations” section. Choose your training location from the auto-suggestion list that appears when you begin typing. 

For every enquiry you receive, keep in mind that there is an individual behind the message who is looking to you to help them improve their game. In your Coachability account you can visit your inbox to view any incoming messages and booking requests from potential clients. There are 2 types of messages which will appear in your inbox.  

Direct Messages - Direct messaging is the most common form of communication between you and your clients. The client’s message is automatically sent to your Coachability Inbox and your email address; you can reply to the message from your inbox. The quicker you reply to your clients, the more likely they’ll be to book sessions with you. Coachability requires coaches to reply to their clients within 48 hours, or the message will automatically be deleted.   

Booking Requests  - A booking request happens when a client goes onto your profile page, picks a day/time, session type, enters player details the and clicks book. With a booking request you have the option to 'Accept' or 'Decline'. You have 24 hours to reply before the message is automatically deleted. 

Helping Clients to Book 

To book, clients will need to sign up and create an account, which takes less than 2 minutes. Below is a step by step guide, feel free to pass this onto any client who requires help. 

Sign up & Verification 

1. Click 'Sign up' on the Coachability website 

2. Enter name, email address & password  

3. Verify account via the email sent  

Booking a session 

1. Go to specific coaches profile page  

2. Pick a date for the 1st session 

3. Select package (Single player, 2 Player or Small Group, Custom sessions) 

4. Select duration (60, 90, 120 minutes) 

5. Select available time slots  

6. Click request to book 

7. Enter player details including contact details  

8. Enter payment details (payment is not taken until the coach accepts the booking) 

9. Wait for coach to Accept or Decline the booking request

Once you have accepted a booking you should contact the parent/player via the platform, by phone or email. This is a great opportunity to find out more about the player and their specific requirements and confirm logistics (time, date, venue) for the session. Once the session has taken place you and the parent/player are invited to leave a review. Reviews by parents/players are published on your profile. 

Once you complete your session, you need to mark the session complete to receive your payment. You should only mark a session complete after it has occurred. We encourage you to do this immediately following sessions to ensure timely payouts. To mark a session as complete, just click the "Mark Complete" button next to the session in the Sessions tab of your dashboard. 

After clicking the “Mark Complete” button, you will need to provide the following information to receive payment: 

- Session date, time, and location 

- Feedback for the athlete - provide an overview of what you worked on, the athlete’s performance, and discuss what you will work on in future sessions. 

 Payments are issued 3-5 days after you mark a training session as complete. You can check on the status of your payout in your Payments tab. If you accidentally mark a session complete that did not occur, please contact Coachability Customer Support immediately.

Coachability protects you with a 24-hour cancellation policy in case a client does not show up for a scheduled session. You have the option to mark the session complete so that you will still be paid for the time you've set aside. This policy is to be implemented at your discretion; we encourage you to use your judgement depending on your client's circumstance. If a client is not present at the beginning of the session, call to check on his/her status. If a client is just running late, utilise the remaining time in the session to the best of your ability. If a client does not show up at all, we recommend you reach out to him/her to discuss the reason for missing the session and attempt to reschedule it. Be sure to schedule your sessions in advance through Coachability. That way, if your client is a no-show, we'll have a record of when the session was supposed to take place.

We'd hate to see you go, but you may cancel your Coachability account at any time by contacting us at [email protected]. If you're just temporarily unavailable to provide coaching sessions to new clients and want to hide your profile from the search results, we'd recommend setting your availability as unavailable in your dashboard. When we cancel your account, you'll no longer appear to clients in the Coachability search results, and you will no longer have access to your account. If you ever wish to rejoin Coachability, you can contact us, and we'll be able to reactivate your account.

Business Management & Payment Processing

There is no sign up fee, no joining fee, no membership fee and absolutely no monthly subscription. Coachability does however earn a commission of 50% from the first and initial booking from a client. After that first session you’re free to organise further training with the client away from the Coachability platform. For more details on the commission structure  click here 

Any coach who fails to comply with the below requirements will be subject to their Coachability account being suspended and unable to accept new clients. We enforce our Guidelines and Expectations to ensure that all Coachability clients receive a great experience and to maintain the integrity of our community.

To provide a great experience for Coachability's clients, we require coaches to:

• Reply to client messages within 48 hours 

• Respond to booking requests within 24 hours ("Accept" or "Decline") 

• Contact clients promptly upon confirmation of booking 

• Arrive on time (or early) for scheduled sessions 

• Come to sessions prepared with all necessary equipment 

• Maintain active communication with clients who have booked sessions 

• Keep availability and location up to date

• Provide clients with at least 24 hours notice in the event of a cancellation

• Maintain a minimum enquiry-to-booking conversion rate of 25%

For the safety and integrity of our community, we do not allow: 

• Exchange of contact information before a booking request is accepted 

• Accepting payment from Coachability clients outside of the Coachability platform before a booking has been completed 

• Encouraging Coachability clients to book with you or any associated coaching-related business outside of Coachability 

• Unprofessional communication or behaviour 

• Falsification of personal information 

• Providing a client experience that falls short of Coachability standards

Even though clients are made aware that they are required to book their first and initial training session with you through the Coachability platform, you might still occasionally be asked by a client how they should pay - or how you prefer to be paid.  

As part of our partnership agreement, you’ve agreed to book and schedule the first and initial training session with Coachability clients through Coachability. In situations like this, we find that simple communication works best; explaining how and why a client should book a training session will usually be all you need to do.  

Payment is made automatically into your bank account and typically takes 3 full business days.  

Occasionally when a coach joins Coachability, the very 1st payment can take up to 5 full business days. This delay is to mitigate some of the inherent risks in providing credit services.  

Yes, coaches are responsible for finding a facility or location for their coaching sessions. Sometimes a client will suggest a facility/park that is a convenient option. Coaches are welcome to train at a location of the client's choosing. However, in most cases, clients expect the coach to provide a training location. We completely understand that securing a facility is one of the biggest obstacles to conducting a great coaching session. We recommend that you find a local park, field or venue that can accommodate sessions (asking other coaches in your area or searching for facilities on the internet may yield some solid results). We recommend that you specify in your profile whether venues fees are included in your session rates. Many coaches on Coachability have found it effective to include facility fees in their session rates to compensate for any added costs. Another option is to specify that clients will have to pay a fee directly to the facility at the time of the session (for example, if the facility charges a guest fee).
